Job Description:

The School Administrative Assistant will provide comprehensive administrative support to ensure the smooth and efficient operation of the school. This role involves handling various clerical tasks, maintaining student records, coordinating communication, and supporting the administrative needs of the school principal and staff. Proficiency in Microsoft Office 365 and familiarity with My School Sask (student data system) will be essential for this position.

Term position: Full time

Primary Duties and Tasks:

  1. Greet and assist visitors, parents, and students, providing them with information and directing them to the appropriate personnel.
  2. Manage and maintain accurate student records, including enrollment, attendance, and grade reporting, utilizing My School Sask.
  3. Coordinate the school’s administrative tasks, including scheduling meetings, managing calendars, and maintaining office supplies.
  4. Prepare and distribute various documents, such as correspondence, newsletters, memos, and reports.
  5. Assist with the organization and logistics of school events, meetings, and parent-teacher conferences.
  6. Handle incoming and outgoing correspondence, including phone calls, emails, and mail, ensuring timely responses and appropriate routing.
  7. Maintain confidentiality and handle sensitive information in accordance with school policies and privacy regulations.
  8. Assist in the coordination and execution of school registrations and student admissions.
  9. Collaborate with the school principal and staff to ensure effective communication and smooth workflow.
  10. Maintain and update the school’s social media platform with relevant and accurate information.
  11. Prepare and distribute student progress reports and other academic documentation as required.
  12. Support the management of student transportation logistics and maintain accurate transportation records.
  13. Assist with the coordination of substitute teachers and maintain up-to-date substitute teacher lists.
  14. Stay updated on school policies, procedures, and regulations to ensure compliance and accurate dissemination of information.


Employment Requirements


  1. High school diploma or equivalent is required. Post-secondary education in office administration or a related field is an asset.
  2. Previous administrative experience in an educational setting is preferred.
  3. Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook) and the ability to quickly learn and utilize new software systems.
  4. Familiarity with My School Sask or similar student data management systems.
  5. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  6. Strong attention to detail and accuracy in record-keeping and data entry.
  7. Exceptional interpersonal and communication skills, both written and verbal.
  8. Ability to maintain confidentiality, professionalism, and tact when handling sensitive information or challenging situations.
  9. Strong problem-solving skills and the ability to work independently as well as part of a team.
  10. Knowledge of school policies, regulations, and procedures is desirable.
  11. Understanding of and commitment to maintaining a positive and inclusive school environment.
